JobWizard AI Platform Terms

These Platform Terms (“Terms”) govern access to and use of the JobWizard AI platform, services, software, and related functionality operated by Areti Professional (“Areti”, “we”, “our”, or “us”).

By creating an account, accessing, or using JobWizard AI, you agree to be bound by these Terms.

If you do not agree to these Terms, you must not access or use the platform.

1. About JobWizard AI

JobWizard AI is an AI-assisted recruitment workflow and hiring support platform operated by Areti Professional.

The platform is designed to support recruitment, candidate management, hiring workflows, talent operations, and related business processes through software, automation, analytics, and AI-assisted capabilities.

JobWizard AI is intended to support human-led recruitment workflows and is not intended to operate as a fully autonomous employment decision-making system.

2. Acceptance of Terms

By accessing or using the platform, you:

  • acknowledge that you have read and understood these Terms;
  • agree to comply with these Terms; and
  • represent that you are legally authorised to enter into binding agreements.

If you use the platform on behalf of an organisation, you represent that you are authorised to bind that organisation to these Terms.

3. Definitions

In these Terms:

Account means a registered user account used to access the platform.

AI Features means AI-assisted workflows, recommendations, summaries, analytics, automation, or generated outputs made available through the platform.

Customer Data means information, documents, resumes, job descriptions, candidate data, communications, and other material uploaded or submitted to the platform.

Organisation Account means an account structure that supports multiple authorised users under a shared organisation or workspace.

Platform means the JobWizard AI software platform and associated services.

Services means all software, platform, support, AI-assisted, workflow, analytics, and related services provided through JobWizard AI.

User means any individual or organisation accessing or using the platform.

4. Platform Services

JobWizard AI may provide:

  • recruitment workflow management;
  • candidate management;
  • AI-assisted screening support;
  • AI-assisted summaries and recommendations;
  • workflow automation;
  • analytics and reporting;
  • communication tools;
  • integrations;
  • hiring workflow support tools; and
  • related platform functionality.

Features and services may change over time.

Areti Professional may introduce:

  • new features;
  • subscription tiers;
  • beta functionality;
  • integrations;
  • AI capabilities; and
  • additional commercial offerings

at its discretion.

5. AI-Assisted Features

The platform may utilise AI-assisted technologies and machine-generated outputs.

Users acknowledge and agree that:

  • AI-generated outputs may be incomplete, inaccurate, inconsistent, or unsuitable for specific purposes;
  • AI outputs are assistive only;
  • AI-generated recommendations must be independently reviewed by appropriately qualified human users;
  • the platform does not make hiring or employment decisions;
  • Areti Professional does not guarantee the accuracy, reliability, suitability, or completeness of AI outputs; and
  • users remain solely responsible for all employment, recruitment, compliance, operational, and commercial decisions.

Users must not rely solely on AI-generated outputs when making hiring, employment, promotion, screening, workforce, or compliance decisions.

6. Human Responsibility and Compliance

Users are solely responsible for:

  • compliance with employment laws;
  • anti-discrimination obligations;
  • privacy obligations;
  • workplace and recruitment regulations;
  • candidate communications;
  • hiring decisions;
  • interview processes;
  • verification procedures; and
  • workforce management decisions.

Users must ensure that platform usage complies with all applicable laws and regulatory requirements in relevant jurisdictions.

7. Accounts and Access

Users may access the platform through:

  • individual recruiter accounts; or
  • organisation or team-based accounts.

Users are responsible for:

  • maintaining account confidentiality;
  • protecting login credentials;
  • all activity occurring under their accounts; and
  • ensuring authorised access only.

Organisation accounts may permit administrators to:

  • manage users;
  • control permissions;
  • access organisation data;
  • manage billing; and
  • administer workspace settings.

Areti Professional may suspend or restrict accounts where misuse, security risks, or policy violations are suspected.

8. Customer Data

Users retain ownership of Customer Data uploaded to the platform.

By uploading or submitting Customer Data, users grant Areti Professional a non-exclusive licence to:

  • host;
  • store;
  • process;
  • analyse;
  • transmit; and
  • use

such data as reasonably necessary to:

  • operate the platform;
  • provide services;
  • support workflows;
  • generate AI-assisted outputs;
  • maintain security;
  • improve functionality; and
  • fulfil legitimate operational purposes.

Users represent and warrant that they:

  • have the necessary rights and permissions to upload Customer Data; and
  • comply with applicable privacy and employment laws.

9. Candidate Information and Privacy

Users are responsible for ensuring they have lawful authority to:

  • collect;
  • upload;
  • process;
  • store; and
  • manage

candidate and personal information through the platform.

Areti Professional processes information in accordance with applicable privacy laws and its Privacy Policy.

Where permitted by law, Areti Professional may use aggregated or de-identified operational data to:

  • improve services;
  • develop platform capabilities;
  • enhance analytics;
  • improve AI-assisted functionality; and
  • support platform operations.

Areti Professional does not claim ownership of candidate personal information.

10. Acceptable Use

Users must not:

  • use the platform unlawfully;
  • engage in discriminatory or prohibited hiring practices;
  • upload unlawful, harmful, misleading, or infringing material;
  • reverse engineer the platform;
  • attempt unauthorised access;
  • interfere with platform security;
  • use the platform to distribute malware or harmful code;
  • conduct automated abuse or excessive scraping;
  • misuse AI-assisted functionality;
  • use the platform for unlawful surveillance or profiling; or
  • use the platform in a manner that violates applicable laws or third-party rights.

Areti Professional reserves the right to investigate misuse and take appropriate action, including suspension or termination.

11. Intellectual Property

Areti Professional and its licensors retain ownership of:

  • the platform;
  • software;
  • workflows;
  • interface designs;
  • branding;
  • AI systems;
  • analytics;
  • documentation;
  • visual designs; and
  • related intellectual property.

These Terms do not transfer ownership of platform intellectual property to users.

Users retain ownership of Customer Data they upload to the platform.

12. Subscription Services and Billing

Certain platform features may require:

  • paid subscriptions;
  • usage-based pricing;
  • enterprise agreements; or
  • additional commercial arrangements.

Pricing, billing terms, usage limits, and subscription conditions may be updated from time to time.

Unless otherwise stated:

  • fees are non-refundable;
  • subscriptions renew automatically for recurring billing periods; and
  • users are responsible for applicable taxes and charges.

Areti Professional may suspend access for unpaid accounts.

13. Platform Availability

The platform is provided on an “as available” basis.

Areti Professional does not guarantee:

  • uninterrupted access;
  • continuous availability;
  • error-free operation;
  • specific uptime levels; or
  • compatibility with all systems or devices.

The platform may contain:

  • experimental features;
  • beta functionality;
  • evolving AI-assisted capabilities; or
  • third-party integrations.

Features may change, be modified, or discontinued at any time.

14. Third-Party Services and Integrations

The platform may integrate with or rely upon third-party systems, services, APIs, or providers.

Areti Professional is not responsible for:

  • third-party systems;
  • external integrations;
  • third-party availability;
  • external security practices; or
  • third-party service interruptions.

Use of third-party services may be subject to separate terms and policies.

15. Confidentiality

Each party agrees to take reasonable steps to protect confidential information disclosed through use of the platform.

Users acknowledge that:

  • recruitment information;
  • candidate information;
  • hiring workflows;
  • commercial information; and
  • platform functionality

may contain confidential material.

Users must not improperly disclose confidential information obtained through the platform.

16. Limitation of Liability

To the maximum extent permitted by law, Areti Professional excludes all warranties, representations, and guarantees not expressly stated in these Terms.

To the maximum extent permitted by law, Areti Professional is not liable for:

  • hiring outcomes;
  • employment decisions;
  • candidate suitability;
  • workforce decisions;
  • indirect loss;
  • consequential loss;
  • loss of profits;
  • loss of opportunity;
  • reputational loss;
  • data loss; or
  • business interruption

arising from:

  • use of the platform;
  • reliance on AI-generated outputs;
  • platform interruptions;
  • third-party services; or
  • Customer Data.

Where liability cannot lawfully be excluded, liability is limited to the minimum extent permitted by law.

17. Suspension and Termination

Areti Professional may suspend, restrict, or terminate access where:

  • these Terms are breached;
  • misuse is suspected;
  • unlawful activity is identified;
  • security risks arise; or
  • payment obligations are not met.

Users may stop using the platform at any time.

Termination does not affect accrued rights or obligations.

18. Changes to the Platform or Terms

Areti Professional may:

  • modify the platform;
  • introduce new functionality;
  • discontinue features; or
  • update these Terms

at any time.

Updated Terms become effective upon publication unless otherwise stated.

Continued use of the platform constitutes acceptance of revised Terms.

19. Governing Law

These Terms are governed by the laws of New South Wales, Australia.

Users submit to the exclusive jurisdiction of the courts of New South Wales and the Commonwealth of Australia.
